| Question:
How does Scan-On-Request enhance service for GRM clients? |
| David Symanski:
Scan-on-Request
is GRM’s method of delivering documents stored in our records center to
the client digitally. We call this the blended solution. It brings all
of the elements of Information Management together, augmenting our
storage solutions, helping to save our clients time and money. |
Information
Management revolves around the idea of a secure method of maintaining
documents, simultaneously having those documents readily available at
the client’s request. GRM provides both elements to every client, and
with Scan-On-Request those elements are improved. We still store and
secure a client’s documents on-site in our Records Center, but now any
or all documents can be scanned and stored digitally as well. The
digital documents are secured on our hosted web portal and available in
moments to any client via the internet. |
| Question:
Can Scan-On-Request improve information management when it comes to major industries? |
David Symanski: Absolutely it can. Let’s take the medical industries
– hospitals and doctor’s offices for example. They need to keep
sensitive documentation secure, it is a top priority. But what happens
when you have a patient whose medical care depends upon information
recorded on a document that’s stored in an off-site facility? We can
have that information delivered conventionally by courier, within hours
of a request – as fast as possible but maybe not quickly enough. |
| On
the other hand, if the client subscribes to Scan-On-Request, any
information selected for scanning and digital storage is available
instantly with a click of the mouse. Our clients can access patient
records, billing information or any other documentation, through our
web, portal from home or office. When it comes to law firms or financial institutions,
a patient’s life isn’t necessarily on the line, but time is money.
These businesses are global now; getting the right information into the
right hands securely and quickly by old standard methods just isn’t
feasible or sensible any longer. With our online Records Center, a
client can retrieve documents from anywhere and send it to anyone
online. |

Law Firms require several elements when it comes to information
management: speed, accuracy security and flexibility. Case files,
reports, depositions and client information are generated on a daily –
perhaps hourly – basis. Quick turn-arounds are often the norm and this
sensitive material is usually needed at a moment’s notice. GRM is
capable of storing, tracking and rapidly retrieving this information,
both securely and accurately, for even the busiest law firms. |
| Our enhanced bar coding
system, where each document that enters our facility is scanned,
indexed and filed with a unique barcode, is a streamlined process which
ensures that every document and case file within our secure facility is
accurately stored and tracked and remains only a phone call away. With
our Scan-On-Request service, this process is quicker,
putting the control in the hands of our customers. Law firms can access
any information via our Online Records Center and the information is
viewable from home or office. |
Our
skilled storage consultants use the process of digital archiving and
retrieval to pinpoint your firm’s most active files and modify our
information management services to customize solutions that fit your
firm's needs and cut back on unnecessary retrieval costs. |
